Corporate Services is responsible for Real Estate management (strategic planning, lease transaction, project, design and construction management and facilities management); Corporate Security; Housekeeping; Mail Distribution, Documentation, Destruction and Storage; Catering Services and Reception Management.

Job Duties:

The Head of Facilities and Services at Exchange Square, Vice President, is responsible for managing all HKEX's operations at Exchange Square including property services, engineering facilities, AV systems, housekeeping (reception, mail and document management and cleaning), catering and travel.

Reporting to the Head of Corporate Services, the Head of Facilities and Services at Exchange Square, Vice President, is responsible for managing all HKEX's operations at Exchange Square including property services, engineering facilities, AV systems, housekeeping (reception, mail and document management and cleaning), catering and travel. The HKEX team consists of 19 HKEX staff and is supported by a team of vendor staff.

HKEX occupies 16 office floors across Exchange Square 1 and Exchange Square 2 with a total area of over 180k sq.ft. Besides the office floors, HKEX also occupies Level 1 & Level 2 of Exchange Square (The Connect Hall) to host listing ceremonies and events. Within The Connect Hall area, there is also a finance museum, TV studios, Clearing and Operations counter and office, as well as a boardroom and multi-purpose room for training, conference and private business dining. A small non-gas kitchen is also located in The Connect Hall to support private business dining.

Responsibilities:

Property Services, Engineering Facilities and AV Systems Management
  • Managing office operations, Electrical and Mechanical (E&M) facilities maintenance, AV systems management and property management services
  • Maintaining critical site facilities such as chiller plants, CRAC/CRACH, UPS systems, emergency generators, building management system and other E&M installations in good, safe, reliable and energy efficient working order
  • Managing the team, system and facilities to support business operations and Connect Hall events
  • Ensuring all operational activities comply with HKEX policies and procedures
  • Driving proactive review on the current preventive maintenance program and implementing projects to enhance current facility capacity, efficiency, sustainability, reliability and safety
  • Managing provision of infrastructure and asset inventory
  • Ensuring statutory compliance and governance
Incident Escalation and Management
  • Ensuring timely incident escalation, in compliance to HKEX emergency response protocols
  • Leading the team to carry out corrective actions to maintain HKEX operation and resilience
  • Driving detailed root cause analysis to understand and learn from the incident, with a view to prevent re-occurrence of similar incidents
  • Carrying out post incident review and report on design, maintenance and operation improvement
Housekeeping (Reception, Mail and Document management and Cleaning)
  • Managing the reception services at various external facing points within HKEX
  • Providing mail collection and distribution; confidential waste management; document archive; retrieval and destruction
  • Managing a team of HKEX staff and external vendor staff to perform receptionist duty and mailroom and document management service
  • Managing the general cleaning services to The Connect Hall and specific pest control program to the office area (Note: Hongkong Land provides general cleaning services to the offices and toilets at Exchange Square)
Catering Management
  • Managing an internal Executive Dining facility at L50 Executive floor. This is a breakfast and lunch facility with waiter service.
  • Providing catering services to internal events. These events include snacks for meetings, small size cocktail, private business dining at L50 Executive floor or at The Connect Hall, large scale events with Hors d'oeuvre or banquet up to 120 people
  • Providing day to day pantry services to HKEX staff include the management of the pantry equipment, utensils, consumables and the provisions of vending machines
  • Managing a team of HKEX staff and external vendor staff to perform pantry assistant services
  • Managing a list of external caterers to provide the above catering services
Travel Management
  • Managing external travel agencies to provide travel services to HKEX staff for business travel, including air, ground transportation and hotel
  • Managing the shuttle bus program for TKO data center and Shenzhen Qianhai
  • Managing the corporate airlines program
  • Managing the corporate hotel program
Team, Vendor and Stakeholders Management
  • Guiding continuous improvement of processes procedures by managing and guiding subordinates
  • Providing management oversight to support the team's growth and develop the next generation of managers
  • Communicating with senior management on the operations and management of property services, facilities, housekeeping, catering and travel management as required
  • Managing performance of vendors and contractors according to Key Performance Indicators and Service Level Agreements
  • Maintaining strong working relationship with key stakeholders and other supporting functions
Requirements:
  • Minimum of 15 years' relevant experience in management of office facilities and property services in a corporate business environment
  • Member of IFMA, CoreNet, HKIE or equivalent
  • Minimum 8 years' of experience managing a sizeable team of technicians and engineers
  • Strong knowledge of mission critical environment infrastructure: chiller plants, CRAC/CRACH, UPS systems, emergency generators, building management system and site facilities management
  • In-depth knowledge of maintenance and continuous processes improvement
  • Good knowledge of AV system operation, Housekeeping, catering and travel management
  • Strong vendor management experience
  • Proven ability to identify risk, put in place preventive measures and effectively respond to risk incidents
  • Strong leadership, well organized and excellent stakeholder management
  • Self-starter with positive attitude, a strong sense of accountability and able to perform under pressure
  • Good written, verbal and presentation skills with strong ability to communicate in English and Chinese
