We are seeking a highly capable Executive Assistant to provide comprehensive support to senior leadership within a dynamic and growing financial services firm. This is a broad and business-facing role that extends beyond traditional executive support responsibilities, offering significant exposure to business operations, project coordination, and cross-functional stakeholder management.

The successful candidate will play a critical role in ensuring the smooth running of daily business activities, acting as a trusted partner to senior executives while contributing to operational efficiency across the wider organisation.

Key Responsibilities
Executive Support
  • Manage complex and ever-changing calendars, coordinating internal and external meetings across multiple time zones.
  • Arrange extensive international and regional travel, including detailed itineraries, accommodation, transportation, and visa requirements.
  • Prepare meeting materials, presentations, reports, and correspondence on behalf of senior management.
  • Act as a key point of contact for internal and external stakeholders, maintaining strong professional relationships.
  • Monitor priorities and proactively anticipate scheduling conflicts and business needs.
Business & Operations Support
  • Assist with the coordination and execution of business initiatives and special projects.
  • Support day-to-day operational activities to ensure smooth business functions and efficient workflows.
  • Track project timelines, action items, and deliverables, following up with relevant stakeholders where required.
  • Coordinate with external vendors and service providers, ensuring timely delivery of services and maintaining relevant documentation.
  • Assist with office management, procurement, and administrative processes as needed.
  • Support the preparation of management reports, business updates, and operational presentations.
  • Contribute to process improvements and identify opportunities to enhance efficiency across the business.
Stakeholder Management
  • Collaborate closely with senior management and various internal teams to support business objectives.
  • Maintain a high level of professionalism and discretion when handling confidential information.
  • Build strong working relationships across all levels of the organisation and with external partners.
Requirements
  • Degree holder or equivalent professional experience.
  • Minimum 5 years' experience supporting senior executives, preferably within financial services, professional services, consulting, or other fast-moving corporate environments.
  • Proven ability to manage multiple priorities and work effectively in a high-volume environment.
  • Strong organisational and coordination skills with exceptional attention to detail.
  • Proactive, resourceful, and capable of operating independently with minimal supervision.
  • Excellent communication and interpersonal skills.
  • Advanced proficiency in Microsoft Office, including Outlook, PowerPoint, Excel, and Word.
  • Fluent English is essential; Cantonese and/or Mandarin would be advantageous.
