Job Summary:
Corporate Services is responsible for Real Estate management (strategic planning, lease transaction, project, design and construction management and facilities management); Corporate Security; Housekeeping; Mail Distribution, Documentation, Destruction and Storage; Catering Services and Reception Management.

Job Duties:

Reporting to the Head of Corporate Security, the Accounting and Administration Officer is responsible for ensuring accurate and timely accounting and administrative functions for Corporate Security.
The candidate is required to have extensive accounting and administrative experience. The ability to work both independently as well as a team-player is critical for this position.


Responsibilities
  • Provide a full range of accounting and administrative services and support to the Corporate Security team.
  • Perform required accounting duties, including supplier onboarding, preparing of Request for Quotations (RFQ), issue of Quotation Analysis Forms (QAF), raising Purchase Requisitions (PR), performing Goods Received (GR), AP invoice payments, budgeting, accrual, forecast reporting, and fixed assets record maintenance.
  • Collaborates closely with the Central Procurement Team for security related procurement requirements and submissions.
  • To prepare and present monthly financial summaries and reviews for Corporate Security OPEX / non-project CAPEX and contract status or other finance related reports or presentations as required.
  • Perform administrative duties, including data analysis and validation, meeting minutes and arrangements, etc.
  • Perform filing functions, including auditable financial and security records, SharePoint Data updates and archiving, training records, Contract Management System (CMS) uploads, etc.
  • Documenting vendor management and quality control in accordance with contract requirements, monthly supplier invoice verification, etc.
  • Supporting and preparing Third Party Risk management documentation.
  • Assisting with Microsoft Power Automate development and maintenance for Corporate Security.
  • To develop and draft user manuals for new automated processes in consultation with end users and stakeholders.
  • Assist in improving security accounting and administrative processes and activities, taking into consideration new technologies and tools.
  • Perform other supervisor assigned administrative and accounting duties, including courier service arrangements, expenditure claims, spare part records, etc.


Requirements:
  • Graduate or Post Graduate qualifications in accounting or related disciplines.
  • At least 5 years of accounting and/or administrative experience in a well-established organization.
  • Self-motivated, organized, with good attention to detail.
  • High level of personal and professional integrity.
  • Able to communicate effectively in both written and spoken English and Chinese. Proficiency in Putonghua is an advantage.
  • Proficiency in MS Word, Excel, Power Automate, Access, PowerPoint, Outlook.
