The sales assistant role will support the team with sales-related events coordination, administrative and secretarial work. Key scope includes the logistics arrangement of sales events with internal corporate services and external vendors, secretarial services i.e. travel booking arrangement, submission of claim, billing and administrative support on system report generations.

We are looking for seasoned (sales/marketing assistant) and a self-starter in the organization with a steep learning curve on Firm's policy appreciation & gets work done effectively. The ideal candidate works well in a team environment & with good communication skills. This person willingly takes ownership, stay on top of daily tasks meeting required turnaround times & follow them to resolution. This is a middle-high level sales assistant position.

Job duties:
• Meeting room and event venue booking including internal and external catering team and vendors liaison
• Expenses claims - Obtain internal system (EnC) approval, system expense reimbursement and vendor invoicing
• Provide support to MSIM event and conferences
• Obtain MER approval for all legal expenses
• Distribute periodic collaterals/reports to clients
• Prepare daily sales reports from Fund flow data system
• Generate reports from Bloomberg and Morningstar
• Create and maintain sales pipelines, client contacts in salesforce
• System submission of marketing materials to Compliance for approval
• Printing and binding of presentation materials
• Calendar management including set up conf call/VC meetings, internal and external meetings coordination and materials followup
• Travel arrangement , ereq approval & meeting itinerary; logistics arrangement including car service, office access and visitor desk
• Order and arrange delivery of meeting materials, marketing premiums, desk diary, desk calendar, CNY red packet, festival gifts
• Order business card for the team
• Other ad hoc projects

Background / Experience Desired:

Functional - Sales & client service support in a financial institution with minimum three years and above experiences. Experienced private banks' marketing assistant preferred;
• Strong communication skill
• Proficiency in MS Word, Excel, Powerpoint & Outlook required
• General office skills (typing, filing, phone skills, etc.) required
• Use of Salesforce software experience preferred
• Fluent English, Cantonese and Mandarin speaker
• Excellent time management and prioritization skills
• Be able to work independently as well as part of a strong team
• Can type Chinese
