Job Summary:
The position handles various secretarial, administrative and logistical duties (e.g. managing calendar, meeting logistics, administrative and clerical support, procurement and transportation support, staff onboarding and offboarding, etc.) for the three departments as mentioned above.

Job Duties:

Responsibilities:
  • Manage and coordinate calendar and provide secretarial service for department heads;
  • Arrange meeting facilitates and logistics arrangement (e.g. meeting venue setup and support);
  • Prepare, dispatch and file meeting materials as required;
  • Provide general administrative duties and clerical support to the respective teams (e.g. filing, expense, scanning, managing office supplies etc.);
  • Coordinate team procurement, transportation, accommodation and visa arrangements;
  • Assist with onboarding and off-boarding of team members;
  • Support ad-hoc tasks in support of the GRM team activities.
Requirements:
  • Experience in general office management;
  • Experience in managing diaries for senior staffs is essential;
  • Experience using the Microsoft product suite including Outlook, PowerPoint and Excel. Knowledge of SharePoint
  • Strong interpersonal skills, a positive demeanor and a willingness to support ad-hoc team requests; and
  • Good command of written and spoken English and Chinese.
  • Ability to manage priorities effectively and think in a proactive way
