About the team

Administration Section is responsible for the wide range of general office administration duties for the Bank. General office administration duties including reception service, tea service to customers and messenger services, manage office security and safety, office administration related project and expatriate housing management, etc.

Role requirements

1) Observe company policies and direction from superiors to help accomplish the required duties and responsibilities on Office Administration and Facilities Management:
a) Workplace Safety Facilities in relation to OSHO including liaison with Building Management Office.
b) Manage office maintenance works, Audio & Video system setup and room setting arrangement;
c) Manage office equipment and room booking system and coordinate with vendors for the setup, maintenance and inventory checking
d) Manage IP phone systems and voice recording systems. Perform regular checking of the voice records
e) Perform a wide range of Office Administration work and administration projects including office supplies stock management & control, procurement processes and office relocation project, etc.
f) Perform fixed asset checking and prepare the fixed asset report every month
g) Perform the iBCP update and carry out the BCP drill. To activate the telephone line to BCP office for testing.
h) Maintain the telephone assignment records and update the floor plan records.

2) Review and monitor the implementation of operation procedures in accordance with Head Office operation procedures and local regulations.

3) Manage the centralized mailing works, to coordinate with external vendors for document delivery services and to ensure the related documents can send out to the third parties on time

4) Provide administrative and operational support to other Affiliated companies and Branches as needed

5) Perform duties assigned by superiors on office administration operations , including all internal & external customers including group companies and providing support in Communication duties on request.
Deliverables: To provide good support in Administration duties for Mizuho Group companies in Hong Kong.

Essential Functions

Provide operational support for indoor and outdoor document delivery services and office forms control and procurement for the Bank. The incumbent will also need to supervise messenger team for the HK Branch and Group Companies as well as the company function.

  • The individual should be able to judge priority among tasks and makes practical scheduling and time management to complete tasks before deadline.
  • The individual should be able to effectively negotiate with his/her external/internal counterparties to executive regular tasks.
  • He/she should respect for, and commit to high standards of business conduct and integrity.

Work experience, education and skills

  • Associate Degree or above in related discipline;
  • Minimum 5 years of experience in Facility Management or office administration; 
  • Minimum 3 years of experience in supervisor position preferred;
  • Experience in working with junior colleagues, tea ladies, messengers and provide necessary direction to achieve the team objection;
  • Proficiency in both spoken and written English and Cantonese;
  • A team player with sound communication skills;
  • Independent, hardworking and willing to work under pressure;
  • Willing to work overtime and on shift duty;
  • Willing to support ad hoc duties;
  • Hands on experience in Microsoft office, such as Access, Word, Excel and PowerPoint.
  • Knowledge in using AutoCAD is preferred
