Overview

My client is a well-known bank that has a strong global present in the globe, they are now seeking an experienced Senior Associate in their Office Admin team. In this role, you will be responsible for providing comprehensive administrative support to the department, ensuring the smooth and efficient operation of our corporate banking activities



Responsibilities

  • Manage the procurement and inventory of office supplies, equipment, and furniture.
  • Act as the primary contact for office-related inquiries and provide administrative assistance to staff.
  • Coordinate and schedule meeting rooms, manage bookings, and ensure audio-visual equipment is properly set up.
  • Oversee the IP phone and voice recording systems, regularly checking voice records for quality.
  • Assist with event planning for conferences, seminars, and client entertainment.
  • Supervise centralized mailing operations, coordinating with external vendors for document delivery.
  • Work with building management and service providers to maintain a safe and well-kept office environment.
  • Identify opportunities for process improvements to boost team efficiency and productivity.
  • Aid in office relocation projects, managing logistics and facilitating transitions.



Requirements

  • Diploma or degree holder with a minimum of 3 years of solid administrative experience in banking or financial services.
  • Strong organizational and time management abilities, capable of prioritizing tasks and meeting deadlines.
  • Excellent communication and interpersonal skills, with the ability to engage effectively with colleagues at all levels.
  • Familiarity with office equipment, supplies, and vendor management.
  • Willingness to work overtime and on shift duty.
  • Adaptable to change and able to thrive in a fast-paced, dynamic environment.
  • Proficient in Excel, MS Word, and communication systems.
  • Fluent in English, Cantonese, and Mandarin.
