Position Overview:

The Executive Assistant will provide dedicated administrative and organizational support to one of the Managing Directors, ensuring seamless day-to-day operations. This is a high-impact role that requires exceptional multitasking skills, proactive problem-solving, and a strong ability to maintain confidentiality. The ideal candidate will have at least 6 years of relevant experience in the financial services industry and fluency in both Chinese (Mandarin and/or Cantonese) and English.



Key Responsibilities:

  • Executive Support:

    • Manage the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements across multiple time zones.
    • Coordinate internal and external meetings, including preparing agendas, meeting materials, and follow-ups.
    • Handle correspondence, including drafting emails, reports, presentations, and other documents as needed.
    • Serve as the gatekeeper, prioritizing inquiries and requests to ensure the Managing Director's time is effectively managed.
  • Travel & Expense Management:

    • Plan and organize complex travel itineraries, visas, and accommodations.
    • Process expense reports in a timely and accurate manner.
  • Communication & Liaison:

    • Act as a point of contact between the Managing Director and internal/external stakeholders.
    • Maintain strong relationships with clients, colleagues, and vendors to ensure smooth communication and collaboration.
  • Office Management & Coordination:

    • Collaborate with other Executive Assistants and teams to ensure alignment and efficiency in operations.
    • Maintain and organize records, ensuring confidentiality and compliance with company policies.


Qualifications & Requirements:

  • Experience:

    • Minimum of 6 years' experience as an Executive Assistant in the financial services industry (e.g., private equity, investment banking, asset management, etc.).
  • Language Skills:

    • Fluency in both Chinese (Mandarin and/or Cantonese) and English is mandatory.
  • Technical Skills:

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Familiarity with expense management tools and scheduling software is a plus.
