About the team

Administration Section is responsible for the wide range of general office administration duties for the Bank. General office administration duties including reception service, tea service to customers and messenger services, manage office security and safety, office administration related project and expatriate housing management, etc.

Role requirements

1) Observe company policies and direction from superiors to help accomplish the required duties and responsibilities on Office Administration and Facilities Management:
2) To follow the policy & direction of the Dept/Section, & to assist your superiors in accomplishing the Dept/Sections overall duties & responsibilities at all times.

To ensure the following duties are performed efficiently and in a cost-effective manner:

  • To register the incoming & outgoing mails.
  • To distribute office forms, stationeries & computer forms to Departments upon superiors instruction.
  • To check the inventory stock of stationery / documents upon superiors instruction.
  • To perform office equipment check and place maintenance order whenever necessary.

3) To perform clerical tasks (such as data input, admin purchase, filing etc.) assigned by superiors.

4) To operate multiple-call telephone switchboard console and routes calls to the appropriate person or location

5) To greet customers, job applicants, vendors, and other visitors at the reception counter in office or lift lobby, and assure that they are escorted to the proper office.

6) To perform Admin. Duties such as Maintenance call, information update, data input, Management schedule update, Telephone List, etc.

7) To perform any other duties assigned by superiors.

Deliverables:

  1. To provide good customer service for external customers and internal customers.
  2. To provide good support in Administration duties for Mizuho Group companies in Hong Kong.

Essential Functions

Provide operational support for reception services and clerical works for the Bank. The incumbent will also need to support the HK Branch and Group Companies as well as the company function.

  • We are looking for an individual who is able to work independently or in a team.
  • The individual should be able to judge priority among tasks and makes practical scheduling and time management to complete tasks before deadline.
  • The individual should be able to effectively negotiate with his/her external/internal counterparties to executive regular tasks.
  • He/she should respect for, and commit to high standards of business conduct and integrity.

Work experience, education and skills

  • Diploma or Associate Degree or above in related discipline;
  • Minimum 5 years of experience in office administration / Reception service;
  • Experience in working with tea ladies and provide tea services to company guests when necessary.;
  • Proficiency in both spoken and written English and Cantonese;
  • A team player with sound communication skills;
  • Independent, hardworking and willing to work under pressure;
  • Willing to work overtime and on shift duty;
  • Willing to support ad hoc duties;
  • Hands on experience in Microsoft office, such as Access, Word, Excel and PowerPoint.
