About the Role We are seeking a proactive, detail-oriented Administrative Assistant to support a team of investment banking professionals in their day-to-day operations. The ideal candidate will be highly organized, adaptable, and capable of managing multiple priorities in a fast-paced, high-pressure environment. This role requires a strong sense of professionalism, confidentiality, and initiative.
Key Responsibilities - Provide full spectrum of administrative and secretarial support to office.
- Manage calendars, coordinate meetings, and arrange conference calls across multiple time zones.
- Prepare and format presentations, reports, and client documents using Microsoft Office Suite.
- Handle travel arrangements, visa applications, expense claims, and reimbursements.
- Support client onboarding administration, internal compliance, and KYC documentation as required.
- Liaise with internal departments (Finance, HR, IT, Operations) to ensure smooth workflow.
- Maintain and update team databases, contact lists, and filing systems.
- Organize team events, business meetings, and offsite logistics.
- Handle ad-hoc administrative tasks and projects assigned by senior management.
Requirements - Diploma or Bachelors degree in Business Administration or related discipline.
- Minimum 2–4 years of administrative experience , preferably within banking, financial services, or professional firms.
- Excellent command of written and spoken English and Chinese.
- Proficient in MS Word, Excel, PowerPoint, and Outlook .
- Strong organizational skills with attention to detail and accuracy.
- Able to prioritize tasks, meet deadlines, and handle confidential information discreetly.
- Proactive, resourceful, and a good team player with strong interpersonal skills.
