We are seeking a proactive, detail-oriented Administrative Assistant to support a team of investment banking professionals in their day-to-day operations. The ideal candidate will be highly organized, adaptable, and capable of managing multiple priorities in a fast-paced, high-pressure environment. Key Responsibilities
  • Provide full spectrum of administrative and secretarial support to office.
  • Manage calendars, coordinate meetings, and arrange conference calls across multiple time zones.
  • Prepare and format presentations, reports, and client documents using Microsoft Office Suite.
  • Handle travel arrangements, visa applications, expense claims, and reimbursements.
  • Support client onboarding administration, internal compliance, and KYC documentation as required.
  • Liaise with internal departments (Finance, HR, IT, Operations) to ensure smooth workflow.
  • Maintain and update team databases, contact lists, and filing systems.
  • Organize team events, business meetings, and offsite logistics.
  • Handle ad-hoc administrative tasks and projects assigned by senior management.
Requirements
  • Diploma or Bachelors degree in Business Administration or related discipline.
  • Minimum 2–4 years of administrative experience , preferably within banking, financial services, or professional firms.
  • Excellent command of written and spoken English and Chinese.
  • Proficient in MS Word, Excel, PowerPoint, and Outlook .
  • Strong organizational skills with attention to detail and accuracy.
  • Able to prioritize tasks, meet deadlines, and handle confidential information discreetly.
  • Proactive, resourceful, and a good team player with strong interpersonal skills.
