Your new role
- Coordinate meetings, conference calls, and video conferences across multiple time zones using various platforms.
- Manage office visitors, including internal and external stakeholders from global locations.
- Arrange travel logistics and itineraries, including flights, transfers, hotels, and meeting arrangements.
- Prepare and process expense reimbursements with proper documentation.
- Handle invoices and follow up on payment logistics.
- Answer team members' phone calls when they are away from their desks.
What you'll need to succeed
- Minimum 5 years of relevant experience in an administrative support role, preferably in the financial industry and within client-facing teams.
- Proficiency in MS Office applications (Outlook, Teams, Word, Excel, PowerPoint).
- Ability to navigate internal systems for travel, expense management, event coordination, and client interactions.
- Excellent command of English and Mandarin, both written and verbal, to coordinate with regions and cross-functional teams within Mandarin-speaking regions
