Job Description
On behalf of our client, an architecture, interior architecture, and design firm, we are seeking a part-time Administrative Assistant.

The subsidiary currently has 6 people, and the office is located in the heart of Central.

We are looking to strengthen the structure with support in secretarial and administrative tasks.

This is a part-time position, between 1.5 and 2 days per week.

The main tasks are as follows:

  • Place orders for the office (water, cleaning products, office supplies, items to furnish the office, paper, etc.)
  • Prepare address lists (hotel addresses in different price ranges - call hotels to negotiate corporate rates, restaurant addresses based on needs: lunch/dinner, etc., manage reservations).
  • Agency development (compile a list of artists/showrooms to visit, schedule appointments, organize meetings with our current partners when they want to present their new collections, request samples and manage shipments, research a local IT support company...)
  • Internal communications with the Paris office
  • Travel: organize air/train travel...
  • Recruitment: schedule interviews and liaise with recruitment agencies, prepare onboarding for new employees, manage the Archicad training week for each new hire,
  • Other: pay invoices, maintain relations with PMQ, manage all accounts (internet, FedEx...)

Requirements

We require candidates to speak Cantonese and English. They must be proficient in Microsoft Office, have strong organizational skills, and be able to manage priorities effectively.
