Scope and Responsibilities This role provides comprehensive administrative and operational support across Corporate Services and Emerging Markets Equities. Responsibilities include ensuring smooth office operations, managing facilities, coordinating with vendors, organizing events and catering, and supporting executive travel, calendar management, and general administrative tasks.
Corporate Services Facilities Management
- Serve as liaison with contractors and Building Management Office for office refurbishment, system upgrades, and periodic inspections (e.g. fire/safety systems).
- Act as emergency contact for out-of-office incidents (e.g. server breakdowns, fire alarms, security system failures).
- Coordinate guest workspace arrangements including office passes, seating, and floor plans.
- Oversee maintenance of office equipment (e.g. lighting, printers, binding machines, kitchen appliances).
- Source and procure office supplies and equipment.
Office Administration
- Administer Amex Corporate Card Program (e.g. applications, cancellations, replacements, declined payments, membership rewards).
- Conduct onboarding orientation for new administrative staff (e.g. courier, office space & facilities, stationery, name cards, Amex Corporate Card).
- Manage conference room booking system and seating plans.
- Handle travel-related feedback and administer e-portal bookings; coordinate car/hotel arrangements for visitors.
- Prepare and monitor monthly budgets and expense reports.
- Manage general office operations including call handling, courier, guest greetings, pantry operations, stationery ordering, mail distribution, and storage.
Services & BCP
- Manage subscriptions (e.g. newspapers, club membership).
- Issue internal notices (e.g. BCP alerts, visitor notifications, special events).
- Support Brookfield/ VAM operations (e.g. courier, cleaning, maintenance, invoices etc.).
- Coordinate quarterly office disinfection and weekend projects.
Catering & Event Management
- Assist with the office lunch program.
- Organize OCM/D&I events, donations, and gift sourcing for APAC offices.
- Plan and execute annual year-end party (e.g. agreements, decorations, menus, invitations, gifts).
- Coordinate office-wide activities (e.g. Town Halls, seminars, cultural events).
Other Support
- Manage accounts payable, vendor setups, and invoice validation.
- Maintain compliance processes (e.g. gift declarations, meal approvals, visitor logs).
- Prepare name cards/envelopes for APAC offices; manage approvals and printing.
- Coordinate and support various teams (including but not limited to Accounting, Business Development, Legal & Compliance, IT, HR, Opportunistic Credit, and Real Estate).
- Support work-from-home and out-of-office coverage for various teams.
- Update Oaktreecentral information (floor plans, directories, calendars etc.).
- Consolidate APAC holiday calendars.
- Oversee leases and contract renewals, filing, and data management.
Emerging Markets Equities Itinerary Arrangements
- Book and manage flights, hotels, and transportation,
- Handle visa applications and renewals.
- Coordinate check-ins and travel logistics.
Calendar Management
- Schedule internal and external meetings, meals, and conferences.
Expense Report Preparation
- Review, prepare, and manage expense reports and invoices.
- Coordination & Liaison
- Work closely with local office administrators and accountants.
- Manage room bookings and guest registrations.
- Obtain signatures, review, track, and manage documents.
- Other Duties
- Organize filing systems and maintain data integrity.
- Calculate days spent in/outside the U.S. for taxation purposes.
- Handle correspondence, letters, deliveries, couriers, and calls.
- Process insurance claims.
- Maintain and update contact databases.
Experience Required - Minimum one year of relevant experience in an administrative role;
- Working knowledge of Microsoft Excel, Word, and Outlook; and
- Proven ability to manage tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks.
