We are seeking an exceptional Senior Administrator to take ownership of a broad spectrum of administrative, operational, and coordination responsibilities for our Hong Kong office. This position plays a central role in ensuring seamless office management, overseeing administrative staff, and supporting cross-regional initiatives across Asia Pacific, the US, and EMEA.

What You'll DoOffice & Administrative Leadership
- Oversee all aspects of office administration, ensuring smooth day-to-day operations.
- Lead, mentor, and allocate work among secretarial and administrative staff.
- Review, improve, and implement workflows, procedures, and document management systems.
Coordination & Relationship Management
- Serve as a key liaison across Asia Pacific, collaborating with global colleagues and internal departments.
- Manage relationships with both internal and external service providers, ensuring service standards are met.
- Support and coordinate cross-team initiatives, including communications and other departmental activities.
Operational Oversight
- Analyse and resolve administrative issues, including sensitive HR-related matters.
- Manage office space planning to support business needs.
- Oversee the provision of IT, business information, printing, translation, and related support services.
Project & Event Management
- Plan and execute both client-facing and internal events.
- Lead special projects from initiation to completion with minimal guidance.
- Assist with marketing-related activities as required.
Governance & Approvals
- Approve, reject, or modify requisitions for travel, office supplies, and related needs.
- Ensure all administrative services meet established standards and compliance expectations.
What You Bring - Minimum 4 years of experience in administrative or managerial roles; experience within financial institutions is a plus.
- Proven ability to manage administrative staff and handle complex office operations with independent judgment.
- Strong organisational skills with the ability to juggle multiple, sometimes conflicting priorities.
- Excellent interpersonal skills with the ability to work effectively with senior management and external stakeholders.
- High degree of professionalism, discretion, and reliability.
- Native-level English preferred; Cantonese and Mandarin skills are highly valuable.
- Proficiency in MS Word, Excel, PowerPoint, Outlook, and general Windows operations. Experience with Zoom, Teams, and multi-office support is advantageous.
