Responsibilities

Perform a full spectrum of administration duties for the PB & TPC Office and assist in ad hoc projects as required, including but not limited to:

Central Administration:
  • Coordinate with internal and external parties to deliver administrative support.
  • Ensure the office is stocked with necessary supplies and that all equipment is working and properly maintained.
  • Handle the procurement of all office services, equipment, and supplies, including quotation, negotiation, evaluation, and vendor management.
  • Responsible for end-to-end staff onboarding and exit procedures.
  • Manage access right applications according to relevant guidelines and users' roles and responsibilities.
  • Plan and coordinate staff events and training sessions.
  • Track regular CPT/OPT/mandatory training reports to ensure all staff fulfill the requirements.
  • Compile and maintain various administrative reports, and conduct sample checks when necessary.
  • Develop and implement internal operational procedures to enhance administrative operations and comply with the bank's policies and standards.
Expense and Control:
  • Review expense claims in compliance with the bank's policies and standards.
  • Conduct regular monitoring and prepare various expense reports as a control point.
  • Handle payment settlement and cost allocation.
  • Ensure proper handling of record management, such as document archiving and retrieval, green bag disposal, data backup, voice log retrieval and access, and shared drive access.
Workplace Infrastructure:
  • Ensure a safe, secure, and well-maintained facility that meets environmental, health, and security standards.
  • Manage key registry, door access applications, and reviews.
  • Maintain essential premises records and layout plans for the department's office premises.
  • Responsible for seating and restacking arrangements.
BCP Coordination:
  • Review and prepare annual documentation such as BIA, BCP, drill exercise reports, and attestations.
  • Coordinate required drills and set up alternate sites.
Requirements
  • Bachelor's degree preferred.
  • 1 to 3 years of administration experience in a banking or financial institution.
  • Familiarity with office project management.
  • Proficiency in MS Office, including Word, Excel, and PowerPoint.
  • Strong administrative writing and reporting skills.
  • Good communication and organizational skills.
  • Strong sense of responsibility, deadline-oriented, solution-focused, and detail-minded.
  • Able to work independently under pressure and tight timelines.
