Our client, a leading organisation within the financial services sector, is seeking an experienced and highly professional Executive Assistant to provide dedicated support to C-suite executives. This role requires exceptional organisational ability, strong communication skills, and the maturity to operate independently in a fully remote environment.
The ideal candidate will be based in Canada (or within a similar time zone) to ensure seamless collaboration with Hong Kong-based executives.
Key Responsibilities
- Provide comprehensive executive support to C-suite leaders, including calendar management, meeting coordination, and travel arrangements.
- Prepare, review, and edit correspondence, presentations, and confidential documents.
- Manage meeting logistics, including agenda preparation, minute-taking, and follow-up on action items.
- Coordinate with internal and external stakeholders across multiple time zones.
- Maintain an organised filing and information management system to ensure accuracy and confidentiality.
- Assist with ad-hoc projects, research, and administrative tasks as required.
- Serve as a key communication point, ensuring timely and effective information flow between the executive office and other departments.
Requirements
- Minimum 3-5 years of secretarial or executive assistant experience, preferably supporting C-suite executives.
- Prior experience within financial institutions or professional services firms is highly preferred.
- Excellent communication skills in Cantonese and English (both written and spoken).
- Strong proficiency in Microsoft Office Suite and virtual collaboration tools.
- Highly organised, detail-oriented, and capable of handling multiple tasks in a fast-paced environment.
- Demonstrated ability to exercise discretion and maintain strict confidentiality.
- Self-motivated, proactive, and comfortable working independently in a fully remote, home-based setup.
- Flexibility to work across different time zones when needed.
