Your new company Our client, a well-established and sizeable organisation, is seeking a highly capable and business-savvy Executive Assistant (EA) to support the Managing Director. This role is ideal for someone with strong organisational acumen, excellent communication skills, and the ability to operate in a fast-paced, dynamic environment. You will serve as the MD's right hand, providing full-spectrum administrative and project coordination support while maintaining a high level of professionalism and confidentiality.
Your new role Executive Support
- Manage the Managing Director's complex calendar, schedule meetings, and coordinate internal and external appointments.
- Handle travel arrangements, logistics, itineraries, and expense management.
- Prepare presentations, reports, meeting materials, and confidential documents.
- Serve as the primary gatekeeper and liaison for internal stakeholders and external partners.
Project Coordination
- Support the MD in driving cross-functional projects and follow up with department heads to ensure deliverables are on track.
- Conduct basic research and consolidate information for decision-making.
- Assist in meeting coordination, agenda preparation, minutes-taking, and action tracking.
Office & Administrative Management
- Coordinate with senior executives, vendors, and business partners when required.
- Maintain efficient filing systems, workflows, and documentation.
- Support ad hoc tasks and business initiatives as assigned by the MD.
What you'll need to succeed - Minimum 7+ years of Executive Assistant or Personal Assistant experience in sizeable organisations.
- Prior exposure in family offices, financial services, legal firms, consulting firms, multinational companies highly preferred
- Strong proficiency in Microsoft Excel, PowerPoint, and Word.
- Excellent command of Cantonese and English-both written and spoken.
- Exceptional organisational, multitasking, and time-management skills.
- Smart, business-minded, and capable of anticipating needs.
- Flexible, proactive, and able to thrive in a fast-paced environment.
- Strong attention to detail and a high degree of professionalism.
