Business Travel Expenses - Please Help!

Hello,


My employer has been asking me to go on a business trip to Europe since January 2009, and I have finally broken down and consented.


I just found out that the company only pays for airfare, hotel, and taxis to/from airport. Therefore, I will have to pay for all meals and intercity travel expenses out of pocket.


Also, I booked a nonrefundable/nontransferable ticket which was approved by both bosses last month, however now that the trip is less than a week away they have changed the itinerary to not include one of my Europe legs. If I do not complete all legs of my journey, then my return ticket is canceled. My only option is to upgrade, however my boss informed me that this is my mistake (although i had multiple discussions and emails trains with their approval) and will have to pay for it myself.


What should I do?


I do not make enough to pay the difference...

Yeah, you are entitled to have meal allowance and intercity travel expenses. It is unreasonable for the employee to bear them. If you are to meet with customers and buy them lunches and dinners, that should also be on company!!

Appreciate the support, however the intercity travel expenses and meals are the least of my worries.


My ticket is nonrefundable/reroutable. The only way out of this ticket is to upgrade the ticket which will cost +HKD$20,000.


My employer says that he will deduct this from my earning as it is my error, although he agreed to my ticket and the terms last month.


I do not know what to do.

I have double checked all conditions and spoke with the Airline.


Any advice on how to protect myself from my employer deducting my salary?

i dont know the hk labour law, but your employer is clearly overstepping his mark and it might have some serious financial consequences for you.


his claim is ridiculous if you have got proper approval beforehand. just show his own approval to him and tell him you disagree for him to deduct it from your salary.


but overall i think you should re-think your relationship to your employer in general. what he is doing is completely insane and despite having to look for a new job, i would seriously consider quitting myself.

I am an HR Manager and have to say that I have never come across an employee having to pay for business travel up front him/herself unless trying to get reward points on a credit card but even then it is usually frowned upon. Your ocmpany should book and pay for the ticket for you.


Do not agree to your boss deducting the cost from your salary. Show him the email exchanges approving the travel details and tell him that you do not agree to his suggestions of deducting from your salary.


If he will not come to the party talk to the Labour Dept - they are very helpful.

You are only entitled to what is stipulated in your corporate policy.

Lessons learned:

1. Confirm your trip details and get corporate approval before spending your own money (albeit refundable) on corporate travel.

2. You work for idiots. Change your employer ASAP.

3. Travel is a development experience. If you have to "break down and consent", you need to think about your perspectives on life and accept your ceilings - personally and professionally.
